Overview
SMsquared Recruitment Solutions is committed to providing you with the highest level of professionalism and integrity in the delivery of our recruitment service. We are also committed to ensuring the privacy of your personal information. The following statement explains how we manage your personal information in accordance with the Privacy laws.

Type of Information Collected

We only ask for personal information that is relevant to the business relationship we have with you. Personal information that we collect and hold usually falls into the following categories:

  • Candidate Information submitted and obtained from the Candidate and other sources in connection with applications for work; this may include, but is not limited to, information such as personal details (e.g. name, address, e-mail address, telephone numbers, and salary), resumes, academic transcripts and psychometric testing results.
  • Work performance information;
  • Information about incidents in the workplace;
  • Information submitted and obtained in relation to absences from work due to leave, illness or other causes;
  • Information obtained to assist in managing client and business relationships.

The Collection of Information

Primarily personal and sensitive information will be derived directly from you when you supply us with a copy of your resume and/or attend an interview.

Personal and sensitive information may also be collected via:

  • A reference check about you;
  • Results of enquiries that we might make of your former employers, work colleagues, professional associations or registration body;
  • Results of any competency or medical test;
  • Any performance feedback we receive (whether positive or negative)
  • Any complaint from or about you in the workplace;
  • Any information we receive about a workplace accident in which you are involved;
  • A response from a job advertisement - either written, verbal or email
  • Any information we receive about any insurance investigation, litigation, registration or professional disciplinary matter, criminal matter, inquest or enquiry in which you are involved;
  • When you provide us with any additional information about you.

Purposes for which we hold personal information

We primarily hold personal information for the following purposes:

  • Placement operations;
  • Recruitment;
  • Staff management;
  • Training;
  • Client and Business Relationship management;
  • Marketing

Disclosures

We may disclose your personal information for the purposes for which it is primarily held or for a related secondary purpose. In most cases we will only disclose information with your consent and with the understanding that the information given is only to be used for the sole purpose it was intended for.

We may disclose your personal information where we are under a legal duty to do so, including circumstances where we are under a lawful duty of care to disclose information.

Contractors

We contract out a number of services from time to time. Our contractors may see some of your personal information. Typically our contractors would include:

  • I.T. contractors and database designers
  • Temporary office staff;
  • Professional psychologists

Security

SMsquared takes all reasonable steps to secure any personal information. Security measures are in place to protect information from unauthorised access, loss, misuse or alteration. We continue to regularly review and update these measures to ensure security is maintained.

Personal information that is no longer needed for any purpose for which it may be used or disclosed is destroyed.

Failure to provide information

Failure to provide us with the information we may request may:

  • limit in our ability to locate suitable work for you;
  • limit in our ability to place you in work;
  • not enable us to proceed with your application for a particular position.

Access

Subject to some exceptions that are set out in the National Privacy Principles, you are able to gain access to the personal information that we hold about you. We do refuse access if it would interfere with the privacy rights of other persons or if it breaches any confidentiality that attaches to that information.

If you wish to obtain access to your personal information, you should contact our Privacy Coordinator. Steps will be taken to verify your identity. In providing written information a moderate charge may be imposed to cover the administrative cost in processing and providing access. A fee will not be charged for simply making a request for access.

All requests will be processed in a timely fashion.

Up to date information

If your personal information changes please contact us and we will take reasonable steps to update and correct the information. We may also contact you from time to time to check the information is still correct.

Changes to our policy
